AusUDID Database

TGA medical-device data used for UDI/GTIN product lookup.

Daily first check time

Choose when iStockCheck should first check TGA each day. Choose the Australian region for this schedule. If a new snapshot is not available, checks continue every two hours.

Automatic daily full refresh

At the configured daily time, iStockCheck checks TGA for the Latest Version, then rechecks every two hours until a new daily snapshot is detected. The first detection time is recorded. If the snapshot is unchanged, no database is downloaded. When a new snapshot appears, it is downloaded, validated and safely replaces the live index.

Normally leave this blank. iStockCheck discovers the Latest Version automatically. A pasted TGA link is used for that update only and is never saved.

The current working index stays live during download and validation. It is replaced only after the new full database passes safety checks.

Medicine Databases

Medicine reference data for type-ahead product identification and pharmacy field auto-fill. TGA PRS/OTC provide regulatory product records; AMT can be added as a separate enrichment index. Barcode lookup remains separate.

Prescription medicines

Accepted formats: CSV, TSV, JSON or XLSX. The file must contain a medicine/product name column. GTIN/barcode, AMT and ARTG fields are optional. The existing working index remains live unless the replacement passes validation.

OTC medicines

Accepted formats: CSV, TSV, JSON or XLSX. The file must contain a medicine/product name column. GTIN/barcode, AMT and ARTG fields are optional. The existing working index remains live unless the replacement passes validation.

AMT reference

Automatic monthly refresh uses your NCTS source access when configured in Render. Manual upload remains available as a fallback. Upload an AMT CSV/TSV/XLSX export obtained under your NCTS licence. Preferred term and AMT concept identifiers are used for medicine-name enrichment. The file is converted to a local index and is not bundled into releases.

Medicine name lookup: typing 2 or more characters searches the TGA prescription/OTC indexes plus any uploaded AMT reference index. AMT and ARTG identifiers are shown when present. Barcode lookup remains separate: organisation product memory → AusUDID → medicine GTIN → optional external lookup.

GS1 barcode and DataMatrix scanning is available in Clinic accounts for medical-device and pathology stock. It remains dormant in Pharmacy accounts. GTIN, batch/lot, expiry and serial parsing are retained.

GS1 Australia National Product Catalogue (NPC)

NPC is the GS1 product-master-data source for iStockCheck. Live API synchronisation remains off until GS1 Australia provisions authorised NPC API access; no endpoint or credentials are guessed or embedded.

Upload the GS1 Australia TDS product files directly. Pharmaceutical drugs and medical devices are stored in separate indexes, so updating one does not replace the other.

Recognised GS1 TDS fields include GTIN, Trade_Item_Description, Brand, Functional_Name, Company_Name, Net_Content, GPC_Brick/GPC_Brick_Description, Healthcare_Item, ATRG_ID and Schedule_Code. A separate GPC hierarchy upload is not required.

Delete GS1 product data

Permanently remove all manually imported GS1 pharmaceutical, medical-device and legacy NPC product indexes and their upload metadata from iStockCheck. This does not remove the dormant GS1/DataMatrix scanner code.

Lookup priority

  1. GS1 DataMatrix — decode (01), (10), (17) and (21) immediately.
  2. GS1 NPC product index — identify the product from GTIN.
  3. Existing product sources — organisation memory, AusUDID and medicine indexes.
  4. AI expiry/batch recognition — fallback only for missing human-readable expiry/batch.

Verified Database Backup

Primary Platform Administrator only. A consistent SQLite snapshot is created using the live database engine, checked for integrity and required schema, then downloaded. Password and fresh MFA confirmation are required.

The temporary server-side snapshot is deleted after the download response. Keep downloaded backups in protected storage. Maximum five downloads per hour.

Validate restore candidate

Validation only — this does not replace or modify the live database. The selected SQLite backup is uploaded to a private temporary location, checked in isolation, then deleted.

Restore production database

Available only after validation. A verified pre-restore snapshot is created automatically. iStockCheck then restarts and applies the selected database. If post-restore validation fails, the previous live database is restored automatically.

DELETED ORGANISATION RECOVERY

Recover Deleted Organisation

Primary Platform Administrator only. Recover an iStockCheck-only, Enterprise (iStockCheck + Cold Chain), or standalone Cold Chain organisation from protected pre-deletion backups without replacing either live database.

Select the iStockCheck backup containing the organisation identity. For Enterprise or standalone Cold Chain organisations, also select the matching Cold Chain backup from the same pre-deletion period. Search is convenient by organisation name, administrator email or immutable organisation ID; restoration is bound to the immutable organisation ID.

Dry run checks both databases for conflicts before any restoration. Old sessions, password-reset tokens, MFA secrets/challenges, recovery codes and other transient security state are not restored. Cold Chain local database IDs are remapped safely while the immutable iStockCheck organisation identity is preserved.
